GETTING STARTED

MAKING YOUR CATERING RESERVATION
Catering reservations should be made as early as possible, and at least 10 days in advance. Details can be changed, but it is most important to schedule your event so that it is on the catering calendar. Certain days and times can and do fill up. All orders should be placed online at the locations designated CaterTrax website or email your catering representative.
CONFIRMED GUEST COUNTS
To ensure the appropriate amount of food, a guaranteed final guest count must be provided to the catering office at least 3 business days prior to your function, 5 business days are required for events over 100 guests. If you do not contact catering services within the allotted time, services will be prepared based on the most current number and charged accordingly.
STAFFING GUIDELINES
Wait staff, they will be assigned to your event for set-up and will remain on-site throughout to maintain food and beverage at a rate of $35 per server, per hour. Certain size and types of events may require additional staff, the standard for buffet service is 1 staff member per 50 guests. Any service other than buffet, please ask your catering representative. Staff will also be responsible for cleaning up your event. Please discuss your specific needs with your catering representative.
MINIMUM ORDERS AND FEES
A delivery fee of $25 will be applied to all service times under $150.
Each buffet or meal selection has a minimum count that can be ordered. If your group does not meet the minimum count, you will be charged up to the minimum. If each service time does not meet the minimum for the selections made, you will be charged a delivery/transportation fee of $25.
LATE ORDERS
We suggest that your catering arrangements be made as early as possible. Catering should receive your menu at least one week prior to the event. However, we understand that some events may not be confirmed with this much advance notice. In these instances, please contact us as soon as your event is confirmed so that we may begin planning for your event. A late fee of $25 will be applied to all orders placed less than 5 days in advance.
CANCELLATION POLICY
We know that at times you may need to cancel an event with short notice. Due to our advance preparation, complete cancellations within 72 hours will not incur any charges. Cancellations 24 to 72 hours will incur costs to that point, and less than 24 hours may incur the full cost. If Southern New Hampshire University is closed due to inclement weather, all catered events will be automatically cancelled, and we can assist you with rescheduling for a future date. Your Catering Representative will be able to walk through any potential costs incurred at the time of the cancellation.
LINEN AND SKIRTING
Linen tablecloths are included in the cost of all hot buffets and plated meals. For additional tables, linen tablecloths will be charged at a rate of $5.00 per table, linen napkins $.50 each and house skirting will be charged at a rate of $8 per table. Specialty linen napkins are also available for an additional charge. Please speak with your Catering Representative.
DINNERWARE
China, glasses, and stainless-steel flatware are available upon request for an additional cost. For non-china events, we provide disposable packaging, dinnerware, and cutlery at no additional charge. Specialty disposable dinnerware is also available for an additional charge. Please speak with your Catering Representative for selections.
BAR SERVICE
Request for Bar Service must be received no less than 14 days prior to the event in order to reserve licensed bartenders and supplies required. An additional fee will be applied for late requests that can be accommodated.

BAR STOCK FEE
Alcoholic beverages are owned by SNHU (not ADC) and must be paid for through the University system.
PAYMENT
All catered functions must be secured by payment before they occur. ADC accepts all major credit cards and checks as acceptable forms of payment. Payments by check must be made out to "American Dining Creations”. The guaranteed guest count and final payment are due 5 business days prior to the event. Tax exempt organizations are required to submit a copy of their exemption certificate.
